Day-Trip Budget Worksheet: Shared Costs, Per-Person Costs and Prepayments

A single per-person budget can miss shared costs such as a vehicle or parking. Count shared expenses once and individual expenses for each traveller. This worksheet separates the trip total, equal share, prepayments and remaining cash needed.

Day-trip budget: total versus money still needed
  1. Base: 25,000+2 × 31,000=₩87,000
  2. Choose 10% reserve → budget ₩95,700
  3. Equal split → ₩47,850 each
  4. ₩20,000 prepaid → ₩75,700 still needed

Prepayment reduces remaining need, not the total budget.

Hypothetical KRW example. A 10% reserve and equal split are chosen assumptions, not current fares or official budget rules.

Calculate with your own numbers

Use one currency. The 10% contingency is an example. Rounding before splitting the total can produce small differences.

This tool does not transmit your entries or store them on a server. The CSV is created in your browser. All sample numbers are hypothetical; use one currency and consistent units.

Separate shared and per-person costs

Let F be shared transport, parking and other shared costs; V the sum of one person's transport, meals, admission and other costs; and N the number of people. Base total = F + N × V. Do not enter the same taxi ride as both shared transport and individual transport. For different child or concession prices, calculate an appropriate average or prepare separate groups.

The contingency is a chosen percentage of the base total. The default 10% is a demonstration value, not an official travel-budget rule. Adjust it for weather and a realistic return option. Prepaid money remains part of total trip cost; subtract it only when calculating money still needed.

Enter all amounts in one currency. The calculator does not fetch exchange rates or convert the KRW examples to euros or yen. Include any anticipated payment fees as costs after converting them consistently.

Worked example: two people on a day trip

All prices are hypothetical KRW, not current fares. Shared transport is 20,000 and parking 5,000. Each person has transport 6,000, meals 15,000 and admission 10,000. Base total = 25,000 + 2 × 31,000 = 87,000. A chosen 10% reserve makes the budget 95,700, or 47,850 each if split equally.

With 20,000 already prepaid, money still needed including the reserve is 75,700. The total budget has not fallen to that amount. The unpaid planned cost before the reserve is 67,000. For settlement, replace estimates with actual receipts.

Find reliable inputs

  1. Check the transport operator for return travel, transfers and booking charges.
  2. Check the attraction's operating date and exact ticket inclusions.
  3. Separate shared payments from individual payments.
  4. Record prepayments and cancellation conditions without treating possible refunds as cash in hand.
  5. Price a realistic rain or late-return alternative and adjust the reserve.

A correct total does not guarantee a workable itinerary

The tool does not check seats, opening hours, queues, weather or accessibility. Equal shares apply only if everyone agrees to split equally. For discounts or different responsibilities, prepare an actual allocation separately.

Common questions

What if prepayments exceed the budget?

Remaining need is shown as zero, with excess prepayment separately. That does not establish refund entitlement.

Must contingency be 10%?

No. It is a sample input. Choose it for your actual trip conditions.
