Printer toner cost calculator: starter toner, replacements and drums

Dividing a replacement cartridge’s price by its advertised yield does not tell you how much money to set aside for your next printing project. You also need to separate the toner supplied with the printer, whole replacement cartridges and any separately replaced drum. This calculator estimates consumables purchases and paper costs for a monochrome laser printer using one toner type.

It excludes the printer purchase, electricity and repairs. It assumes that the included toner and one new drum are already available, rather than charging for them again separately from the printer. Do not apply this single-cartridge model to a colour printer, inkjet setup ink or a toner subscription.

Count printed sides, not sheets

N means the number of sides you will actually print. Printing on both sides of one sheet produces two printed sides. If you place several document pages on one side, count the resulting output sides rather than the original document pages.

Two ways to print the same three sides

Single-sided: 3 sheets

A B C

Double-sided: 2 sheets

Front A / back B Front C / blank back

Both layouts print three sides. This example reduces sheets; it does not mean toner use is halved.

The duplex calculation assumes you can pair all N sides in one continuous run. Separate jobs ending on odd numbers, or a mixture of single- and double-sided printing, can require more sheets. Check whether your printer, paper and documents support duplex printing.

Find the included toner and replacement toner separately

Open the exact model on the manufacturer’s regional site, then check both box contents and supplies. For example, the US Brother HL-L2350DW listing separates an approximately 700-side starter toner cartridge from an approximately 12,000-side DR-730 drum. The US listing currently marks this model as discontinued. It is an example of reading specifications, not a buying recommendation.

Separate entries in the US HL-L2350DW documentation
Item Declared figure
Included starter toner Approximately 700 sides
Replacement TN-730 / TN-760 Approximately 1,200 / 3,000 sides
Separate DR-730 drum Approximately 12,000 sides

The replacement figures come from the USA/CAN reference guide, supplies tables on pages 10–11. The drum estimate uses one A4/Letter single-sided page per job. Part numbers can differ by country; do not copy these entries to another regional model.

The Brother FAQ for this model treats toner and drum as separate consumables. Do not budget for a new drum every time you replace toner. Check the low-toner FAQ for its print-quality and replacement indications, rather than replacing solely because your planned count has been reached.

Enter figures you have checked

Input Where to find it
N: planned printed sides A whole number of at least 1. Set a period and include copies and test prints.
S: expected included-toner yield The box-contents figure, not the replacement yield Y. Enter 0 if none is included.
Y / C: replacement yield / price each Use the exact cartridge number and actual purchase terms in one currency. Y must be positive.
D / DC: new-drum life / price each Assumes one new drum is already included. Set both to 0 to omit separate drum costs.
P: price per paper sheet Divide the paper cost by usable sheets, using the same currency.

If D is positive and DC is 0, the model treats the drum price as genuinely zero. Do not use zero to conceal an unknown price. For an integrated toner-and-drum cartridge, omit the separate drum to avoid double counting. A drum already in use is not necessarily new: its full rated life is not its remaining life.

D=0 with a positive DC is invalid. To exclude a separate drum, set both values to 0.

Inputs are calculated only in this browser, without being sent to or stored on our server. The CSV is saved on your device.

What the calculation means

  • Replacement cartridges = ceil(max(0, N − S) / Y)
  • Estimated unused printing capacity = S + cartridge count × Y − N
  • Additional drums, when D is positive = max(0, ceil(N / D) − 1)
  • Paper sheets = N for single-sided, or ceil(N / 2) for duplex
  • Purchase budget = cartridge count × C + additional drums × DC + paper sheets × P

ceil rounds a fractional result up to the next integer. Subtracting one drum accounts for the new drum already available. The budget per printed side divides the whole purchase budget by N; it is not a measured consumption cost. C / Y is a simple replacement-toner rate that leaves out starter toner, unused capacity, paper and drums.

A fictional 2,500-side project

These are invented figures, not a product test or market prices: N=2,500, S=500, Y=1,500, C=₩45,000 and P=₩10, with the separate drum excluded. You need ceil(2,000 / 1,500) = 2 replacement cartridges. Toner purchases total ₩90,000, leaving an estimated 1,000 sides of capacity.

To reproduce the table below, enter P=10 for the price per sheet and set both D and DC to 0.

Result Single-sided Double-sided
Toner purchase budget ₩90,000 ₩90,000
Sheets / paper cost 2,500 / ₩25,000 1,250 / ₩12,500
Consumables and paper budget ₩115,000 ₩102,500
Average budget per printed side ₩46 ₩41

The simple replacement rate is 45,000 / 1,500 = ₩30, while this project’s toner purchases divided by N are ₩36 per side. Buying whole cartridges, including capacity you will not yet use, produces a different result. The remaining 1,000 sides are neither a cash refund nor a printer-measured toner reading.

Turn the CSV into a useful replacement record

  1. Fix the plan. Record the period, how you counted N and the duplex assumption.
  2. Keep model evidence. Enter the region, printer and consumable numbers, official URL and check date. Ask the manufacturer about unknown entries before buying.
  3. Save the calculation as CSV. Keep its budget, purchase counts and unused-capacity estimate. Add the observation columns below to the same file.
  4. Observe at replacement. Record the dates, amount actually paid, counter readings at installation and replacement, messages and print quality. Check whether the counter measures sides or sheets.
  5. Adjust the next plan. Compare like conditions. Mark wasted prints, long idle periods and different document types separately; one observation is not a universal yield.
Observation columns to add to the saved CSV
Consumable Exact number, installation date, replacement date
Cost Actual payment, currency, whether tax and shipping are included
Counter and condition Start/end readings and units, messages, quality issues, wasted prints
Usage Document type, duplex setting, periods without printing

Compare keeping the printer or not printing

If your existing printer still suits the work and produces acceptable output, get a quote for the necessary consumables first. For occasional jobs, compare a print shop’s quote for the same sides, paper and duplex setting. Include document sensitivity, travel time and minimum charges. Digital submission may avoid printing where the recipient permits it.

When comparing a new printer, add the purchase price and other excluded costs separately. Do not treat partly used toner or an old drum as equivalent to a new included supply.

A declared yield is not your guaranteed result

HP’s monochrome toner-yield explanation describes comparison testing with defined documents, settings and conditions. This budget assumes depletion at your entered figures; it does not reproduce document content, initialization, condition after idling or early replacement. Follow manufacturer warnings and actual output condition.
